Bandwidth - Requirements Packages

Transforming a complex compliance process into a guided, scalable experience

Bandwidth supports global enterprises with number activation across multiple regulatory environments. The inherited Requirements Packages flow lacked clarity and consistency, resulting in errors, delays and a heavy operational burden. I redesigned the experience to create a clearer, more predictable journey that customers can complete with confidence — bringing greater clarity, consistency and a more self-serve approach to compliance.

01. Problem

Simplifying a critical part of number activation

Requirements Packages are the sets of documents customers must submit before Bandwidth can activate numbers. The original experience lacked clarity and consistency, which made a sensitive regulatory process feel uncertain.

Why it mattered

This created frustration on both sides and slowed down onboarding for global enterprises.

Business

  • Compliance errors were creating unnecessary regulatory risk
  • Support teams spent significant time explaining why documents had failed
  • The workflow could not scale to new markets

USERS

  • They struggled to understand which documents were required
  • Rejections arrived with little explanation
  • Resubmissions became a time-consuming guessing game

02. Challenge

Understanding the complexity of global compliance

The legacy Voxbone interface: Data-dense, unguided, and opaque.
Bandwidth operates in a highly regulated environment where every country has different documentation requirements. The inherited system offered inconsistent layouts, confusing language and no meaningful guidance. Even simple tasks became unnecessarily difficult for customers and internal teams alike.
  • Fragmented experience between old and new interfaces
  • Legal terminology that was confusing for non-experts
  • No real-time validation to prevent errors
  • Customers had to upload the same documents repeatedly
  • Analysts worked through long queues with little automation
  • Customers relied on support to find out what had happened to their submissions
The root issue was a lack of transparency. Customers could not see what the system was doing, why something had failed or what they needed to do next.

03. Objective

Creating a self-serve, transparent and scalable experience

The aim of this project was to replace an opaque and inconsistent workflow with a clear, guided journey that customers could trust. We needed an experience that improved accuracy, reduced dependency on support teams and could scale as Bandwidth entered new markets.
Success meant delivering:

04. Discovery & Insights

How we understood the problem

To understand why the experience was breaking down, I carried out structured research that combined interviews, analytics, ticket reviews and a heuristic audit of the existing flow.

Working closely with Compliance, Product and Engineering helped us build a shared picture of the pain points and the impact they had on both customers and internal teams.

User journey

Key themes

Lack of Transparency

  • Insight Users did not understand rejection reasons or submission status.
  • Opportunity Provide clear, contextual feedback at every step.

Inefficient Workflows

  • Insight Users uploaded the same approved documents repeatedly with no way to reuse them.
  • Opportunity Create a centralised system for managing and reusing documents.

Broken Trust

  • Insight The unpredictable experience reduced confidence in the platform.
  • Opportunity Build a guided, transparent journey that empowers customers.

Automated failure explanations

Common rejection patterns create opportunities for automated guidance.

Document recognition

AI can detect duplicate uploads and support document reuse.

Intelligent reminders

Lack of historical visibility creates value for proactive alerts and summaries.

Predictive approval estimates

Manual review inefficiencies open the door for data-driven approval timelines.

05. IA & Workflow Redesign

From scattered screens to one cohesive model

To bring clarity and consistency to the experience, I redesigned the information architecture and created one predictable structure that works across all countries. This simplified the journey, reduced repeated effort and laid the groundwork for future automation.

Before

  • • Country pages behaved differently and were difficult to navigate
  • • Key actions were hidden, making next steps unclear
  • • No reusable documents; users uploaded the same files repeatedly
  • • Terminology varied across regions
  • • Information was scattered across multiple screens
  • • No visibility into past decisions or status history
  • • Errors were common, leading to delays and escalations

After

  • • Predictable, standardised structure across all countries
  • • Reusable documents supported through a central library
  • • Clear, guided steps with transparent validation
  • • Consistent terminology and patterns across regions
  • • One structured place for Packages, Documents and Timeline
  • • Full visibility of submission history through a clear timeline
  • • Higher task success through simplified, evidence-based flows

Future

  • • Automated document classification
  • • Real-time anomaly detection
  • • AI-generated explanations for failures
  • • Smart reminders for missing documents
  • • Predictive approval timelines

06. Wireframing & Iteration

Bringing the solution to life with clarity and consistency

I explored several concepts to simplify the experience, reduce cognitive load and create a predictable structure for all markets. Working closely with Compliance and Engineering ensured each decision was accurate, feasible and aligned with the wider platform.
Key Decisions and Rationale

Cognitive Load

Reduced complexity by converting long forms into clear, step-by-step journeys so users could focus on one task at a time.

Standardisation

Applied consistent patterns across all countries to create familiarity, reduce errors and make the experience easier to navigate.

Validation

Replaced disruptive post-submission errors with real-time inline checks, helping users correct issues before progressing.

07. Design Execution

Creating a guided and reassuring experience

Guided steps and validation

Real-time feedback on file types and sizes before submission. Color- coded states and contextual tooltips provide clear, at-a-glance information.

08. Guided Walkthrough

What the new journey looks like

1. Choose the country

Users start by choosing the target market, instantly filtering relevant regulations.

2. Select number type

Context-aware filtering ensures users only see requirements for their specific needs.

3. Review clear, grouped requirements

Clear, grouped checklists show exactly what is needed before starting.

4. Attach documents with inline checks

Drag-and-drop with inline validation prevents common file errors.

5. Track progress through a transparent timeline

Real-time visibility into submission progress and review status.

09. Testing & Outcomes

Validating the solution

I conducted usability testing, task-completion studies and A/B experiments to ensure the redesigned journey was clearer, faster and easier for customers to complete.
  • Usability Testing

Eight remote sessions with enterprise users evaluating clarity and ease of navigation.

  • Task Completion

Measured end-to-end accuracy and speed across complex scenarios.

  • A/B Testing

Compared new workflow against legacy patterns.

What users said:

“For the first time, I can see exactly what’s happening with our submissions.”

“I love that I don’t have to upload the same document again.”

Reflection

“Clarity is the ultimate form of simplicity”

This project reminded me of the importance of clarity in complex B2B systems. When users can see what is happening and understand why, they feel in control. It also reinforced the importance of close collaboration when designing regulatory workflows. By aligning with Product, Engineering and Compliance early, we shaped a solution that is accurate, scalable and ready for future automation.
